Setting Up User Permissions for Electronic Payments

🧠 Purpose

This article will outline the process for setting up the necessary permissions for processing electronic payments. To configure user permissions for electronic payments, follow these simple steps:

  1. Navigate to Administration > User Management.

  2. In the dropdown menu for User Roles, select the appropriate role for which you wish to enable permissions.

  3. In the dropdown menu for Accounts Receivable, choose the specific actions you would like to enable for that user role.

The below section is the detailed explanation of each permission available.


Permissions Overview

  • Add Credit Memo

    • This permission allows users to add customer credit memos. Note that users must first have View Accounts Receivable permission to access the menu items necessary for creating credit memos.

  • Edit Billing

    • Required to modify fields related to customer billing. This permission enables users to:

      • Edit contacts designated as billing contacts on the Contact screen.

      • Change the status of billing checkboxes in the Property Overview screen.

      • Edit specific fields (which are normally read-only) on the Property Detail screen, including:

        • Separate Invoice

        • Tax Jurisdiction

        • Paperless Invoices

        • Payment Terms

        • Billing Contact dropdown

        • Linking or unlinking a billing contact

      • Edit specific fields (which are also normally read-only) on the Opportunity screen, including:

        • Sales Rep

        • Invoicing Info (Popup Window)

  • Expiring Electronic Payment Method Alerts

    • This permission allows users to view system alerts indicating that customer payment methods are nearing expiration. This option appears on the Roles screen only if the Electronic Payment feature is enabled.

  • Process Electronic Payments

    • Grants access to the Process Electronic Payment option in the Quick Menu of the Aspire Navigation Bar, allowing users to initiate electronic payments for existing invoices on behalf of customers. This option is available on the Roles screen only if the Electronic Payment feature is enabled.

  • Refund Electronic Payments

    • Enables users to access the Refund option on the Payment screen, allowing them to process refunds for customer electronic payments. This permission is shown on the Roles screen only if the Electronic Payment feature is enabled.

  • Rejected Electronic Payment Alerts

    • Allows users to view system alerts when payment processing companies reject customer electronic payments. This permission is available on the Roles screen only if the Electronic Payment feature is enabled.

  • View Accounts Receivable

    • Grants access to Receivable, Payments, and Deposit search lists from the Invoice icon, as well as the New Payment option from the Quick Menu on the Aspire Navigation Bar. Other options within the Invoice icon are accessible through the View Invoice permission. This permission is necessary to receive notifications regarding failed bank deposits under Alerts in the Resource Center.

  • Void Electronic Payments

    • Similar to the View Accounts Receivable permission, this permission provides access to Receivable, Payments, and Deposit search lists and the New Payment option from the Quick Menu. It is also a prerequisite for viewing notifications about failed bank deposits in the Resource Center.
