Using the Property Import Spreadsheet

Read here to understand how to use the Property Import spreadsheet to bulk import contact records into your system!

Purpose

After watching the CRM training videos to understand how the Properties module works, Aspire offers the ability to import your Properties yourself through Administration.

Below, you can read the instructions for downloading and uploading the Property Import file, as well as how to fill out each field.

⚠️Important: Make sure you have imported your contacts, including employees, first before importing your property information! To read that article, click here.


Downloading the Property Import Sheet From Aspire

Next, you can move forward with downloading your property import sheet from Aspire!

  • To download the spreadsheet for entering property information, navigate to your profile icon and select Administration.

  • Then, select the Application tab, and then Import Contacts and Properties.

  • Under Import Type, select Property.

  • Then, select Download Example to download the spreadsheet.

  • In your browser or file explorer, locate the downloaded spreadsheet and open it!

  • If your Excel file opens the file in a read only format, then you can select Enable Editing at the top to add your import information.


Instructions for the Property Import Sheet

Please follow the guidelines very carefully below when entering your Excel spreadsheet with your property data.

Instructions for how to fill out each field, including required fields, are available in the table below.

🧠Keep in mind:

  • Don’t use the same address for different properties! This could cause validation issues.

  • Do not remove or change any columns on this spreadsheet. If removed or changed, the data load will not work.

  • Do not press “ENTER” (carriage return) or “ALT+ENTER” (linefeed) anywhere in the spreadsheet. These will not be accepted by our system.

  • Do not skip or have blank rows.

  • No copyright or ™ symbols

📌 Note: Columns A through D must be filled with data. Do not leave these cells empty.

Field Name Descriptions for Your Property Import

Below are the columns that are available for your property import data entry. 👇

A. Property Name:

This is a required field. Add the name of the physical location of the work performed.

B. Property Name Abr:

This is a required field. Enter how the service name should be displayed on the schedule board, visit plaques, and in Aspire's mobile app.

Abbreviated names only display 20 characters. If there are more than 20 characters, they will be imported but not displayed.

VNDBRKHOA

C. Branch Name:

This is a required field. Enter the name of the Branch responsible for this property.

East

D. Property Status:

This is a required field. Choose from the Aspire defaults to explain the property’s status.

Customer, Prospect, Past Customer or Prior Bid

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

E. Account Owner Name:

Enter the name of your employee who is responsible for the overall management of this property.

📌Note: The employee contact must be created in Aspire first before importing this spreadsheet.

Alora Thecat

F. Ops Manager:

Enter the name of the employee responsible for managing work on the property.

📌Note: The employee contact must be created in Aspire first before importing this spreadsheet.

James O’ Dell

G. Address 1:

Input the physical address of the property where work is being performed. Crews will see this in Aspire Mobile.

H. Address 2:

Enter your secondary address information such as Apt #, Suite #, PO Box or overflow of address.

If there is information entered here, it will print on Proposal and Invoice Layouts.

I. City:

Input the town or city where the property is located.

J. State:

Enter the state abbreviation where property is located. The full state name will be assigned based on this abbreviation when the import is complete.

K. Zip:

Enter the zip code where the property is located.

L. Industry Name:

Choose from the Aspire defaults for Industry Name.

Commercial, HOA, Hotel, Medical, Multi-Tenant, Residential, or Retail.

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

M. Property Type:

Enter your property type used to categorize properties. You can set this as a required field here.

Residential, Commercial, or Land.

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

N. Property Group:

Select your Property Group.

Property Groups are a way to group properties together that might be closely connected

HOA, Industrial Park, Campus, or Retail Center.

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

O. Property Notes:

Enter your notes specific to the property. These are internal notes that are not displayed in other areas of Aspire.

Please note we should make contact for a renewal by the end of the year.

P. Operation Notes:

Notes specific to property where services are being performed. These will be seen by crews in the mobile app and will display for all scheduled services.

Note: Operation Notes specific to a service will be entered at the opportunity level and not here.

Example: The Gate Code for entry is 1234.

Q. Snow Operation Notes:

These are snow-specific operations notes. Notes entered here are text only.

These notes will be displayed in Aspire Mobile.

Salt 2x and ensure priority walkways are cleared.

R. Primary Contact Name:

This is the name of the primary person contacted regarding this property.

Contact must have a contact record before the property import or the name will not be assigned.

S. Billing Contact Name:

This is the name of the contact responsible for paying invoices. These contacts can be the same as primary contact or different.

Contact must have a contact record before the property import or the name will not be assigned.

Jason Crate

T. Email invoice Contact:

Enter the contact name from the Primary or Billing Contact field to set this up.

During the import, this box will be checked for the contact. When you complete a batch, it will email an invoice to the contact in this field.

U. Paperless Invoices:

This is for properties that do not want a paper invoice printed.

Enter 1 to enable a paperless invoice for this property, otherwise enter 0.

1- Enables Paperless Invoice for property

0- Does not enable paperless invoices for property.

V. Separate Invoice:

This is a checkbox on the property record that can be enabled by entering 1 into this column.

Using this checkbox means Aspire will generate a single invoice for each opportunity line in invoicing assistant.

If you do not want separate invoices, enter 0.

0- Does not generate single invoices.

X. Tax Jurisdiction:

Specify the jurisdiction where the property is located for calculating sales tax.

STL County

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

Y. Competitor:

Specify the primary competitor you are competing against for this property.

GreenScene Ltd.

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

Z. Lead Source:

Specify the referral source for the property.

Call In, Website, or Employee Referral.

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

AA. Locality:

Locality is used to define where employees work for calculating payroll taxes.

You must add additional options in Administration before adding them to the import. You cannot create new options using this import.

AB. Website:

Enter the website URL for the company of the property.

AC. Budget:

Enter the annual budget amount representing expected annual spending for the property.

AD. Geo Perimeter:

Allows you to specify a circular area measured in feed from the center of the property within which crew members clock in on site. Enter your geo perimeter value in regards to feet.

AE. Integration Identifier:

Use this field to add a unique integration key to the property for mapping to records using external integrations.

Uploading The Property Import Spreadsheet in Aspire

When your spreadsheet is completed with information, you can then head to Aspire to import your property information!

  • Navigate to your profile icon, and select Administration.

  • Choose the Application tab and then Import Contacts and Properties.

  • Under the Import Type drop down, you’ll select the import type of Property.

  • Then, you can click the Upload button and choose your file from your computer folders.

  • The file chosen from your computer will upload into Aspire!

Understanding Errors

As you are importing your records if there are any validation issues with the spreadsheet, they will be flagged under the import type drop down.

Depending on the import legend information, you can choose to import the file as is by selecting Complete Import in the right corner of the import window, or you can choose to fix the spreadsheet and begin a new import!
