Purpose

As you are on Aspire, it will also be important to learn how to use Aspire with your accounting system. ๐ŸŽ This includes learning how the two systems will interact and understanding how to manage Aspire for a better End of Month process. We provide web-based, live training to better understand these concepts, as well as question & answer sessions throughout the week!

Class Descriptions (In Order)

1. Accounting Basics in Aspire (Formerly Intro to Accounting):

Description:

This class will be an overview of Aspire including which accounting option you should use (SAS vs. SAAS), what transfers from Aspire to the Accounting System, how revenue and costs show in Aspire, how revenue and costs are entered into the accounting system.

Who should attend?

  • Accounting staff should attend this session.

When should you attend?

  • At the beginning of your implementation project


2. Inventory Training:

Description:

In this class, you will learn the basics of how inventory works from start to finish. We will also touch on the doโ€™s and donโ€™ts of inventory in Aspire. You will also learn about less commonly known items such as Job Inventory, Conversions, Tank Mixtures, and Misc. Dollar items. This would be a great learning experience for your Purchasing Manager, Estimators, Accounting Personnel, etc.

Typical Agenda:

  1. Item Catalog Review

  2. Review Inventory in Aspire

  3. How to Purchase to Inventory

  4. Using Holding Accounts in Your Accounting System

  5. How to Read the EOM Report Expense and Inventory Tabs

Who should attend?

  • SAS and SAAS Accounting & Production staff that will have Inventory in Aspire

When should you attend?

  • Should be taken around the Estimating milestone in Implementation


3. End of Month Checklist Tasks #1 - #35:

Description:

This is a review of the End of Month checklist from task #1 through task #35. This checklist should be followed throughout the month to review purchase receipts, work tickets, and Inventory to ensure all the information is accurate before closing a month.

Who should attend?

  • SAS and SAAS Accounting & Production staff

When should you attend?

  • Should be taken during first month go live in Implementation.


4. End of Month Checklist Tasks #36 - #47:

โš ๏ธ Separate Classes for both SAS and SAAS

Description:

This class will walk you through setting up the journal entry export, entering the journal entry into the accounting system, and reconciling the Balance Sheet.

Who should attend?

  • Accounting staff. Be sure you have signed up for the correct class based on SAS or SAAS!

When should you attend?

  • Should be taken during first month go live in Implementation.


5. Over/Under Training:

Description:

In this session, we will review Over/Under: the difference between what has been earned and what has been Invoiced. This is a great report in Aspire. The goal of any company is to create an estimate, do the work (earn the revenue), and invoice the customer. Analyzing this report will ensure this has been done. Production and Accounting staff will benefit from this Training Session.

Who should attend?

  • Accounting staff. Optional if you are SAS but required for SAAS clients.

When should you attend?

  • To be completed after the first month close.


6. Accounting Beyond the Basics in Aspire (Formerly Additional Accounting Training):

Description:

In this session, you will learn how to create pivot reports, review A/R aging reports, create Miscellaneous Invoices, Credit Memos, Formulas, Custom Fields, and other general information in Aspire.

Who should attend?

  • Accounting staff. Be sure you have signed up for the correct class based on SAS or SAAS!

When should you attend?

  • 2-4 months after your company has graduated from Implementation.


7. Q&A: Accounting & Production (Post Implementation)

Description:
โ€‹Specifically for clients out of implementation, this is a great Q&A (Question & Answer) session for anyone with any Aspire production or accounting questions. These are Q&As for Accounting related questions every Tuesday and Thursday, excluding holidays.

Who should attend?

  • Everyone not in Implementation! Implementing clients will get their own Q&A's.

When should you attend?

  • Any time after each class you take!
