Using the Opportunity Import Spreadsheet

Read how you can mass import your opportunities into Aspire!

Purpose

Aspire offers the ability to import your Opportunities yourself through Administration.

Below, you can read the instructions for downloading and uploading the Opportunity Import file, as well as how to fill out each field.

📌Note: If you do not see this import available in your Imports dropdown in Administration, please submit a ticket to AspireCare to request it!


Downloading the Opportunity Import Sheet from Aspire

Next, you can move forward with downloading your Opportunity Import sheet from Aspire!

  • To download the spreadsheet for entering catalog item information, navigate to your profile icon and select Administration.

  • Then, select the Application tab, and then Imports.

  • Under Import Type, select Opportunity.

  • Then, select Download Example to download the spreadsheet.

  • In your browser or file explorer, locate the downloaded spreadsheet and open it!

  • If your Excel file opens the file in a read only format, then you can select Enable Editing at the top to add your import information.

You'd fill in the spreadsheet with your opportunities that will be updated in Aspire!

Instructions for the Opportunity Import Sheet

Please follow the guidelines very carefully below when entering your Excel spreadsheet with your opportunity data to be uploaded into the Aspire system.

Instructions for how to fill out each field, including required fields, are available in the table below.

🧠 Keep in mind:

  • Do not remove or change any columns on this spreadsheet. If removed or changed, the data load will not work.

  • Do not skip or have blank rows.

  • No copyright or ™ symbols

⚠️ Columns A-C, E-F, and J-K are required fields and must be filled with data. Do not leave these cells empty.

Field Name Descriptions for Your Item Opportunity Import

Below are the columns that are available for your Opportunity Import. 👇

Example

A. Property Name

This is a required field and cannot be left blank.

Enter the name of the property where work will be performed. The property listed must be a property that already exists in Aspire.

B. Opportunity Type

This is a required field and cannot be left blank.

Aspire defines Two types of opportunities: Contracts and Work Orders.

Contracts are used for recurring jobs to be performed over time and can be renewed from year to year. Work orders are used for one time-jobs that do not have recurring schedules.

📌 Note: Opportunities with the Contract opportunity type will only have one occurrence listed for each service when using the import tool.

Contract or Work Order

C. Opportunity Name

This is a required field and cannot be left blank.

Enter the Opportunity’s Name in this column.

D. Sales Type

Add the Sales Type for the Opportunity in this column.

The Sales Type entered here must already be an existing Sales Type in Aspire.

New Sale, Renewal

E. Sales Rep

This is a required field and cannot be left blank.

Add the name of the Sales Rep responsible for the opportunity in this column.

The Sales Rep added here must already be an existing user in Aspire.

James O’ Dell, Camilla Sailor, James Blesser

F: Division Name

This is a required field and cannot be left blank.

Set your Opportunity’s Division here. The Division used here must already have been created in Aspire before the import is completed.

Maintenance, Irrigation, Enhancement, etc.

G. Start Date

This is the Start Date of the Contract or Work Order.

📌 Note: This field is only required if an end date has also been set.

H. End Date

This is the End Date of the Contract or Work Order.

I. Proposal Description 1

Allows you to import text for Proposal Description 1 on your Opportunity.

After importing, this text will be available for your layout proposal once it is generated in Aspire.

It will also be listed in Proposal 1 Description on the Opportunity’s Estimate.

J. Group Name

This is a required field and cannot be left blank.

The Service Group Name is a field that allows you to group the services that your company will provide to the customer in support of the opportunity.

Group Name (Also known as the Service Group Header in an estimate) can be displayed on printed proposals to provide clarity for your customers.

📌 Note: The Optional Services section cannot be used with this import.

K. Service Name

This is a required field and cannot be left blank.

Enter the name of the service. This service name must match the service name listed in the service catalog.

📌 Note: You will need to enter a separate line for each service on the opportunity’s estimate. Make sure columns A-I are the same on each line.

For opportunities with multiple services, add your different services in Column K, and match the information in columns A-I. This makes sure they're all grouped within a single opportunity.

L. Service Price Override

To override the Service’s price, enter the price here.

If this field is left blank, Aspire will use the default cost and mark-ups set for the Service.

M. Item Name

Enter the name of the item.

If you would like a catalog item to be used within the estimate, the item name must match the item name in the item catalog. Otherwise, the item will be listed as a one-time item.

One-time items will be added with a price of $0 when using the import.

📌 Note: You will need to enter a separate line for each item under a service on the opportunity’s estimate.

For opportunities with multiple services, add your different Item Names in Column M, and match the information in Columns A-I.

This makes sure they're all grouped within a single opportunity.

Labor - Maintenance

N. Qty

Enter the quantity of the Item from Column M that will be estimated.

📌 Note: This field is only required if an Item Name has been entered in Column M.

O. UOM

Set the unit of measure for the item here. The UOM used must already be an existing Unit Type in Aspire.

📌 Note: This field should be completed for any one-time items used. This field can be left blank if the item currently exists in the item catalog.

Ea, unit, gallon, hour, etc.

P. Category

Category is used to group Items in the Item Catalog.

The category item entered in this import must already be a Catalog Item Category in Aspire before the import is completed.

📌 Note: This field should be completed for any one-time items used.

This field can be left blank if the Item already exists in the Item Catalog.

Annuals, Bulk Materials, Fertilizer

Things to Know About the Opportunity Import Spreadsheet:

  • Developing standard naming conventions for Opportunities is recommended.

  • Contract Opportunities that are imported default to a Fixed Payment Invoice Type.

  • Work Order Opportunities that are imported default to a blank Invoice Type. You would have to manually set the Invoice Type after the import is completed.

  • The Optional Services section cannot be used with this import.

  • If more than one Sales Rep or Sales Type is listed for a specific opportunity, the system will use the first one listed.

  • The import will create a new opportunity if the Property Name does not match anything already created in Aspire.


Uploading the Opportunity Import Spreadsheet in Aspire

When your spreadsheet is completed with information, you can then head to Aspire to import your Opportunity information!

  • Navigate to your profile icon and select Administration.

  • Then, select the Application tab, and then Imports.

  • Under Import Type, select Catalog Item.

  • Then, you can click the Upload button and choose your file from your computer folders.

  • The file chosen from your computer will upload into Aspire!

Understanding Errors

As you are importing your records, if there are any validation issues with the spreadsheet, they will be flagged under the import type drop down.

Depending on the import legend information, you can choose to import the file as is by selecting Complete Import in the right corner of the import window, or you can choose to fix the spreadsheet and begin a new import!
