Purpose

The Paychex Converter is a tool that can be used to import your Aspire Payroll Hours into Paychex.

Setting Up the Paychex Converter

To get the Paychex Converter, you will need to reach out to your Paychex Specialist to request a BCIS form.

Then, Paychex will request that you send them a Payroll Template in Excel format. You can use the exported file from Weekly Time Review in Aspire for this request! Then, continue to work with your Paychex Specialist to make sure everything for the converter is set up correctly.

📌Note: Your Pay Codes in Aspire are equal to the Custom Name columns in Pay Items window for the Paychex Converter.

Once the Excel file you’ve downloaded from Aspire is sent, Paychex will request their team to build the converter for you! The estimated turn-around time is up to 4 business days and depends upon receiving the correct source file from you.

The converter will be sent to you via email when it’s ready for use. Your Paychex Specialist will be copied on the email as well!


Converting Files With the Paychex Converter

To use the Paychex Converter, you’ll need to follow the steps listed on the converter screen to import and convert the payroll file:

Following these steps will create the file and also populate the Source Data tab of the workbook. The steps will also populate the Output and Source Data location fields on the Paycheck Converter!

Step 1: Import Source Data

When you click the Import Source Data button, you will be prompted to browse on your computer for the file you want to import. In this case, it would be the exported spreadsheet downloaded from Aspire.

Step 2: Create Payroll File(s)

Once your file is successfully imported, click the Create Payroll File(s) button to generate the converted file(s).

Then, save it to the Output Location on this screen:

After you select the location for the file to be saved in the Output Directory, the Excel file will be converted to an SPI file type to successfully finish creating the Payroll File.


Importing Converted Files into Paychex

Now that you have the converted Payroll File, navigate to the Payroll Center in Paychex.

After clicking the Begin button, select the option I’ll enter all checks myself then click Continue.

Click the More Options button in the upper right corner:

Then, select Import Payroll Data.

Browse for the converted file and once you have found it, add it to Paychex by clicking Import!

Congratulations, you’ve successfully imported your converted Payroll Hours file into Paychex with the Paychex Converter!
