Purpose

Inova Payroll and Aspire have partnered to offer a highly customizable end-to-end payroll and HR solution.

This unified solution is integrated with Aspire to reduce the time spent administering HR and payroll while improving accuracy.

Core Inova Services for Aspire Clients

  • Payroll tax depositing and filing

  • Direct deposit and pay card services

  • Time off accrual calculations

  • Ability to request time off in Inova

    • These are not automatic, they must be purchased

  • Wage garnishment calculations and payments

  • W-2 or 1099 filing

  • ACA reporting if required

    • These are not automatic, they must be purchased

  • Mobile application for employees

  • Federal new hire reporting

Employee Integration with Aspire

New hires, terminations, and employee updates flow between Inova and Aspire which eliminates redundant data entry. Employees will be added to Inova and their data will be imported into Aspire.


Expanded Payroll Integration with Aspire

Burden True Up

  • True up labor burden from estimated to actual

  • ER deductions/ER taxes/Workers comp

  • Add extra burden as ER deductions - can be any expense paid by the employer, i.e. health insurance, 401K match

  • See the recalculation on the contact page

  • Adjusts the percentage in the system to the actual percentage for job costing

  • Updated to Aspire security profile required

  • Can be run in a closed month

Cost center sync

  • Customize the cost centers exported to Inova

  • Concatenate cost centers, i.e. Branch:Division

  • Export additional cost centers i.e. service, service type, work ticket, opportunity, property

  • Option to exclude pay rate and WC code

Payroll sync

  • Sync payroll to Inova from within Aspire

  • No exporting time file

  • Sync to multiple payroll/batches

  • Ability for client to see errors and make corrections

Approve time off*

  • Update Aspire with approved time off in Inova

  • Export to Inova memo time off code for payroll

  • Compare Inova time off to Aspire’s during payroll

  • Aspire best practice would be to set up PTO pay codes. If the client does not have the HR module, then Inova would not set up those codes on their side

Time Off Balances on Employee Record

  • All time off balances refreshed instantly on contact card

  • See the same numbers are in Inova

  • See any pending time off requests

  • Launch ability to login to Inova from contact page

  • To avoid PTO hours duplication, Inova will map to a memo code in their set up

Time Punch Integration*

  • Clocked times update Inova timesheets

  • No labor distribution breakdown

  • Employees have full visibility of their timesheet

Expanded Employee Fields

Inova will explain which pieces of the employee data will sync. The list of fields that will flow into Aspire as of June 2024 are as follows:

Export Overtime Premium separately from OT base rate

  • Send Overtime Premium to different GL code - allows clients to separate the OT base rate and Overtime Premium

  • Can improve workers comp reporting

Workers Compensation

  • Create State Specific Workers Comp Policies

  • Create Workers Comp codes by state

  • Add the code specific rates to the Workers Comp codes

  • Codes can be applied to specific lines of earnings in payroll
